How travel teams get auction items donated

The roster is not the donor list. It is the route to the donor list.

Use the roster as a network, not a wallet

Twelve to eighteen families cannot fund an auction and should not be asked to. What they can do is supply access — to relatives, employers, family businesses and their own professional networks.

  • Ask each family for three contacts rather than for a donation
  • Ask what every parent does professionally, and whether their employer matches or sponsors
  • Ask each family to forward one item to five relatives
  • Make it explicit that no family is expected to donate an item themselves
  • Track it on one list so two parents do not approach the same business

That fourth point protects the families who are struggling with the bill, and it should be said out loud rather than assumed.

Then the order

2. Extended family

Grandparents, aunts and uncles who watch every game on a stream and have never been asked for anything. The largest untapped group in the silo, and the one with no bill.

3. Parents' employers

Matching gifts, community sponsorship budgets, and internal channels. Travel families frequently work at companies that run all three, and most teams have never asked.

4. Hotels and restaurants you use

The hotel you block-book has a direct commercial interest in your custom, and restaurants that feed forty people on a Saturday night are natural sponsors. Ask at the point of booking, when your value to them is on the table.

5. Businesses that gain when you host

A hosted tournament fills a town for a weekend. Tell local businesses that plainly — most have never connected the two — and the sponsorship conversation becomes commercial rather than charitable.

6. Alumni players and families

Where the club has history, families whose children have moved on remain fond and are never contacted. Start recording them when players age out.

7. The wider community

Restaurants, retail, experiences. Standard, and last.

Ask outside the season

During the season every family is at a tournament every weekend and nobody can solicit, list or ship anything. Work in the off-season or the early pre-season, which is also when club fees are being set and the need is concrete.

What to offer

The item listing, recognition on team channels and at a hosted tournament, a receipt from the correct entity named accurately — and for hotels and restaurants, the honest commercial point: a team that keeps travelling keeps booking.

Timing

  • Off-season — entity and crediting questions settled and published
  • Ten weeks — roster network mapped; each family asked for three contacts
  • Eight weeks — extended family and employers
  • Six weeks — hotels, restaurants, tournament-weekend businesses
  • Four weeks — alumni and community
  • Two weeks — catalogue closed; nothing in it touches selection

General information, not legal or tax advice for your team. Whether your club is for-profit, a charitable organization or a booster group attached to one changes what a donor may claim and what you may do with the money — this is exactly the situation to put in front of your own adviser.

Committee structure: committee and volunteer roles.

Frequently asked questions

How should we use the roster?

As a network, not a wallet. Ask each family for three contacts rather than a donation, ask what every parent does professionally and whether their employer matches, and say explicitly that no family is expected to donate an item themselves.

Why say that out loud?

Because it protects the families already struggling with the bill, and they will otherwise assume the opposite.

When should we ask hotels?

At the point of booking, when your value to them is on the table. The hotel you block-book has a direct commercial interest in your continued custom.

When should procurement happen?

Off-season or early pre-season. During the season every family is at a tournament every weekend and nobody can solicit, list or ship anything — and pre-season is when fees are being set and the need is concrete.
