Swim-a-thon pairing

You already have a fundraiser. Add a mechanism, not a second campaign.

The swim-a-thon is the sport's established fundraiser: swimmers collect pledges per length, swim a set, and the money follows. Families understand it, governing bodies support it, and it happens in the water where the team already is.

An auction should not be a second campaign competing for the same families in the same month. It should be a second mechanism inside one campaign.

What each mechanism is good at

The swim-a-thon reaches outward. Swimmers collect from grandparents, neighbours, their parents' colleagues — people with no connection to the team who give because a specific child asked. That is an audience an auction cannot reach.

The auction reaches inward and upward. Team families, local businesses and sponsors who will give more than a per-length pledge, and who want something in return. That is an audience the swim-a-thon cannot reach.

Run together, they cover both. Run separately in the same season, they compete for attention and exhaust the same volunteers twice.

The shape that works

  • One campaign name and one goal, expressed in lane-hours, with both mechanisms feeding it
  • Auction opens a week before the swim-a-thon and closes on the day, with the swim as the finale
  • Bidding live on the deck during the swim, where every family is present and waiting
  • One volunteer team, with the auction's work front-loaded so nobody is doing both jobs on the day
  • One thank-you and one result, reported together

The deck during a swim-a-thon is the ideal closing environment: everybody is there, everybody is watching, and the phones are already out.

Items that suit the pairing

  • Coach-related lots — a session, a dryland plan, a stroke analysis
  • The team's own gear and a custom parka
  • Meet-day survival baskets
  • A lane named for the season, or first choice of practice group where that is fair
  • Sponsorship of the swim-a-thon itself

Do not double-ask the same household

The one risk. A family that has already collected pledges from its own network, paid dues and bought a suit should not feel that the auction is a third ask in the same fortnight.

  • Say clearly that the auction is for the wider community, not for team families
  • Keep a genuine low tier so participating is easy and cheap
  • Do not set per-family auction targets, which turns a purchase into an obligation
  • Recognise swim-a-thon participation as fully as auction bidding

Check the governing body's rules

Where the swim-a-thon runs under a national programme, there are usually conditions — on the format, on how funds are handled, and sometimes on what may be run alongside it. Read them before pairing rather than after.

General information, not legal or tax advice for your team. Whether you are a school team, a club, a summer league or a parent booster organization changes who receipts and what the money may fund — check with your school, your governing body and your own adviser.

Frequently asked questions

Should the auction and swim-a-thon be separate campaigns?

No — one campaign, one goal, two mechanisms. Run separately in the same season they compete for attention and exhaust the same volunteers twice.

What is each mechanism good at?

The swim-a-thon reaches outward — grandparents, neighbours, colleagues who give because a specific child asked. The auction reaches inward and upward — families, businesses and sponsors who will give more than a per-length pledge and want something in return.

When should the auction close?

On the day of the swim, with the swim as the finale. The deck during a swim-a-thon is the ideal closing environment: everybody is there, watching, phones already out.

How do we avoid triple-asking families?

Say clearly the auction is for the wider community, keep a genuine low tier, set no per-family auction targets, and recognise swim-a-thon participation as fully as bidding.
