Camps intuitively want to fundraise in the summer, when the place is full and the feeling is strongest. It is the one time of year when it cannot be done well.

Why in-season fails

  • The director is running a camp, which is a twenty-four-hour job
  • Seasonal staff are with children and cannot be redeployed
  • Families are not reachable — their children are at camp and they are not thinking about November
  • Nobody can photograph, list, respond, invoice or ship anything
  • Anything attempted is done at midnight by somebody who needed to sleep

The summer is for collecting material, not for running a campaign.

Collect in summer, campaign in autumn

This is the workable shape and it costs almost nothing in season.

  • Photographs — wide shots of activity, the waterfront, the cabins, the property at dawn. Brief whoever takes them to get fundraising-usable images with no identifiable child
  • Camper and family contacts — with permission recorded at registration, including a fundraising opt-in
  • Leaver contacts — the single most valuable thirty seconds of the year. Every camper aging out, and every departing staff member, gives a durable email address
  • Staff testimony — a counsellor writing three sentences about their summer, in August, is worth more than anything drafted in November
  • The campership number — how many were awarded and how many were turned down

That last figure is the campaign's argument, and it only exists if somebody records it while enrolment is happening.

The three off-season windows

Autumn — the strongest. The summer is weeks old, the photographs are new, families are nostalgic, staff are available, and nobody else is asking. September to early November, closing before the holiday appeals crowd in.

Winter — the most concrete. Enrolment season, when camperships are being decided and the need is a live number rather than a memory. The ask is sharper and the audience is smaller.

Early spring — the last chance. Before staff training and site preparation. Workable, and the least emotionally resonant of the three.

Use the summer's material in the autumn

A campaign in September with July's photographs, a counsellor's words written in August and a campership number from enrolment is doing something no other organization can: fundraising on a shared experience the entire audience had six weeks ago.

Sell next summer, not last summer

One framing point. In autumn the natural instinct is to look back. The stronger ask looks forward — camperships for next summer, the cabin roof before June, the boats for the waterfront — because the audience is about to make an enrolment decision and the money has somewhere to go.

And protect the off-season staff

A camp's year-round team is usually very small. Decide who owns the auction before committing to a date, and scope it to what two or three people can run alongside enrolment, hiring and site work.

General information, not legal advice for your camp. Youth protection, media consent and the conditions attached to any accreditation or affiliation differ — your director and your own policies decide how any of this applies.

Frequently asked questions

Why not fundraise during the summer?

The director is running a camp, seasonal staff are with children, families are not reachable, and nobody can photograph, list, respond or ship anything. The summer is for collecting material, not for running a campaign.

What should we collect in season?

Fundraising-usable photographs with no identifiable child, family contacts with a recorded opt-in, leaver contacts from every camper aging out and every departing staff member, a counsellor's three sentences written in August, and the campership number — awarded and turned down.

Which window is strongest?

Autumn. The summer is weeks old, photographs are new, families are nostalgic, staff are available and nobody else is asking. Close before the holiday appeals crowd in.

Should the autumn ask look back or forward?

Forward. Camperships for next summer, the cabin roof before June, boats for the waterfront — the audience is about to make an enrolment decision and the money has somewhere to go.
