Meals and transportation fund auctions

The two needs that never go away, and the honest way to describe them.

Every senior center needs two things more consistently than anything else: food on the table and a way to get people to it. Both are partly funded, rarely fully funded, and both are easy for a donor to picture — which makes them the natural purpose of an auction.

Fund the object, not the line item

Municipal and grant funding tends to cover the programme and stop at the edges. The edges are where an auction is most useful and where a donor's money is most visible:

  • The van itself, a replacement, or the wheelchair lift
  • A year of fuel, insurance or maintenance
  • A driver's hours beyond what the grant covers
  • The kitchen freezer, the warming cabinet, the dishwasher
  • Ingredient costs for the days the subsidy does not reach
  • Delivery containers and bags for the home-delivery route

Name one and publish the quote. "The lift on the van" is an ask; "transportation support" is a category.

Describing what a donation does, honestly

The temptation in this part of the sector is the cost-equivalence claim — a figure translating a donation into meals delivered or rides given. It is effective and it is specific to your own cost base, which means we cannot write it for you and you should not borrow it from another organization.

If you want to use one, derive it from your own accounts: decide whether the denominator is a meal, a delivered meal or a day of service; decide which costs are included, and whether volunteer labour and donated food are counted; use a full year rather than a strong month; recalculate annually; and describe it as what a donation helps provide rather than what it buys.

If you do not have a defensible number, describe the service instead. "The van does two routes a day, four days a week, and the second route exists because of donations" is concrete, needs no arithmetic, and cannot be wrong.

Why this works on adult children specifically

A meal and a ride are exactly the two things a family living elsewhere worries about and cannot provide. An auction funding the van is offering them the nearest available substitute for driving their parent themselves, and that is worth saying plainly in the campaign.

Municipal centers: check before you name it

If the center is a town department, confirm two things before publishing a goal: that the town will accept a gift for that purpose, and that accepting it will not simply reduce the budget line by the same amount. The second question is uncomfortable and worth asking anyway — a donor funding a van that displaces municipal money has not funded a van.

Close the loop visibly

Photograph the van, the lift or the freezer in use, name every business and family that contributed, and put it in the newsletter that goes to the fridge doors. For an audience of adult children at a distance, the photograph is the whole report.

Setting the number: how much can a center raise. What to put in the catalogue: item ideas that actually sell.

Frequently asked questions

What should a senior center auction fund?

The edges that grant and municipal funding do not reach: the van or its lift, a year of fuel, the kitchen freezer, delivery containers, ingredient costs beyond the subsidy. Name one and publish the quote.

Can we say how many meals a donation provides?

Only with a figure derived from your own accounts — the denominator, which costs are included, whether volunteer labour and donated food are counted, over a full year, recalculated annually. Borrowing another organization's ratio is how this claim goes wrong.

What if we do not have a defensible figure?

Describe the service. "The van does two routes a day, four days a week, and the second route exists because of donations" is concrete, needs no arithmetic and cannot be wrong.

We are a town department — anything to check?

Two things: that the town will accept a gift for that purpose, and that accepting it will not reduce the budget line by the same amount. The second question is uncomfortable and worth asking, because a donor funding a van that displaces municipal money has not funded a van.
