Base and installation events
Everything on post is the installation's decision, and it is made early.

An installation is not a venue you book. It is a controlled facility with its own authorised fundraising arrangements, its own approval chain, and rules about who may solicit whom — and outside organizations do not operate there by default.
Ask early, and ask the right office
- Installation public affairs, for anything involving publicity or the base's name
- The staff judge advocate, for the legal and ethics questions
- Morale, welfare and recreation, for facility use
- Family programmes or the family readiness office, for anything involving families
- The garrison or installation commander's office, where approval is required at that level
Approvals take weeks rather than days, base access for civilians takes longer than people expect, and a fundraiser planned around an on-post event that is then declined has no fallback unless one was built.
Assume the answer might be no
This is the planning point. Design the campaign so that it works entirely off-post and online, and treat any on-installation element as an addition rather than the foundation.
An online auction closing at an off-post venue reaches the same families, the same local businesses and a national audience besides, and it needs nobody's permission.
If you are on post
- Everything runs on the installation's terms, including timing, signage and access
- Civilian attendees need base access arranged in advance, with lead time
- Photography is restricted in ways that are not obvious — ask specifically
- Alcohol, gaming and raffles have their own rules on post
- Commercial solicitation is generally constrained; sponsor recognition on base is a different question from sponsor recognition off it
Off-post is usually the better plan anyway
Beyond the permissions, an off-post event reaches people an on-post one cannot: local businesses, the wider community, veterans not connected to the installation, and families who would rather not attend something at work.
That last group is worth thinking about. For a service member's family, the installation is a workplace, and an evening event there is not the neutral setting an organizer may assume.
Work with the family programmes
Whatever the venue, the installation's family readiness and support programmes are the route to the people you serve. They know what families actually need, they can distribute information through channels you cannot access, and they will tell you if your planned assistance duplicates something that already exists.
Approach them as partners early, not as a distribution list late.
And respect the operational reality
Deployments, exercises, duty rotations and short-notice changes will move your dates and empty your room. Build flexibility in, avoid known exercise periods, and accept that an organization serving this community does not fully control its own calendar.
General information, not legal advice for your organization. Rules on fundraising at installations, soliciting service members, and the use of unit names, insignia and service marks come from DoD and service regulation and from the installation itself — ask the installation and your own counsel before acting.

Frequently asked questions
Can we book a base as a venue?
No. An installation is a controlled facility with its own authorised fundraising arrangements and approval chain, and outside organizations do not operate there by default. Approvals take weeks and civilian access takes longer than people expect.
How should we plan around that?
Design the campaign so it works entirely off-post and online, and treat any on-installation element as an addition rather than the foundation.
Is off-post actually worse?
Usually better. It reaches local businesses, the wider community and veterans not connected to the installation — and families who would rather not attend an evening event at what is, for them, a workplace.
Who should we work with regardless of venue?
The installation's family readiness and support programmes. They know what families actually need, they can reach people through channels you cannot, and they will tell you if your planned assistance duplicates something that already exists.
