Low-waste event planning

For this organization the event is not a container for the message. It is the message.

Standard event practice generates a lot of waste and most of it is invisible to organisers because it is normal. Here it is visible to everybody in the room.

Go paperless, which also runs better

  • Online bidding rather than printed bid sheets, which removes the largest paper item and the transcription errors with it
  • A displayed QR code rather than printed catalogues
  • Digital invoices and receipts
  • Reusable table signage — laminated numbers and a single printed item card, or a screen
  • No printed programme; put it on the auction page

This is the section where doing the right thing is simply better practice. Paperless auctions run more smoothly than paper ones regardless of the message.

Catering is where the waste actually is

  • Agree portions against a realistic headcount rather than the guest list
  • Plan for surplus in advance: a food redistribution partner, or staff and volunteers taking it
  • Compost or collect food waste, and ask the venue who does it
  • Reusable crockery and glassware — most venues have it and default to disposables unless asked
  • Water in jugs, not bottles
  • A menu weighted to local, seasonal and plant-forward, without making a point of it

That last one matters. A menu that lectures the room reads badly; a menu that is simply good and happens to be seasonal makes the same point better.

Materials and prizes

  • No balloons, no glitter, no single-use decorations
  • Borrowed, hired or reused decor — and plants that go back afterwards
  • Gift bags: don't, or make them genuinely useful and unpackaged
  • Name badges collected and reused
  • Bid-winner packaging in what the donor supplied rather than adding a layer

The venue

Ask three questions before booking: what happens to food waste, what recycling exists, and whether reusable service is standard or an upgrade. Then ask whether the venue is reachable without everybody driving — a location on a transit line or with organised shared transport removes the largest footprint of the evening, which is the guests arriving.

Say what you did, not what you achieved

The temptation is a label — carbon neutral, zero waste, plastic free. Your own audience is the one that will ask for the working, and unsupported claims are exactly the credibility problem the sector complains about elsewhere.

"No single-use plastic, food waste composted, all bidding paperless" is specific, true and defensible. It is also more persuasive than a label, because a supporter can picture it.

And do it visibly

Where you have made a choice, let people see it: the water jugs, the reusable glassware, the surplus going to a partner. A supporter who notices tells other people, and the event becomes an argument for the organization rather than an expense of it.

Frequently asked questions

What is the single biggest change?

Going paperless — online bidding instead of printed bid sheets removes the largest paper item and the transcription errors with it. It runs better regardless of the message.

Where is the waste actually?

Catering. Portions against a realistic headcount, a surplus plan agreed in advance, food waste composted, reusable crockery, and water in jugs — most venues have reusable service and default to disposables unless asked.

Should our menu make a point of being sustainable?

No. A menu that lectures the room reads badly; a menu that is simply good and happens to be seasonal makes the same point better.

Can we call the event zero waste?

Only with working you can show — your own audience is the one that will ask. "No single-use plastic, food waste composted, all bidding paperless" is specific, defensible and more persuasive, because a supporter can picture it.
